Administrative Assistant - School of Pharmacy - Concordia University Wisconsin/Ann Arbor - Mequon, WI



The School of Pharmacy Administrative Assistant will provide administrative and staff support to the administrative officers within the Office of Student Affairs. Working under the direct supervision of the Director of Student & Alumni Affairs, the Administrative Assistant provides all necessary organizational support and is responsible for a variety of other tasks. This is a full-time, 12-month position that is located on the Mequon, Wisconsin Campus.

Responsibilities


  • Assist with the recruiting and admissions process including the coordination of applicant interviews, maintaining the master calendar and correspondence to potential students and applicants

  • Answer main line for pharmacy school admissions, respond or forward direct requests for information

  • Maintain master calendar of in-house meetings and provide meeting support as needed

  • Maintain and update applicant database as needed and maintain cofidential files on all applicants

  • Receive and distribute all mail and coordinate outgoing mail, including courier services and interoffice mail

  • Assist in preparation of confidential reports for various standing committees

  • Provide administrative support for copying, faxing and large-scale mailings

  • Assist in event planning, coordination, and execution

  • Other related duties as assigned by the administrative officers

Knowledge, Skills, and Abilities

  • Ability to succeed in a fast paced environment with minimal supervision.

  • Proficient in the use of basic computer programs – Microsoft Word/Excel, email, advanced internet skills. Familiarity with database management preferred.

  • Ability to work independently, prioritize tasks, organize work, and meet deadlines.

  • Professional oral and written communication skills.

  • Excellent organizational abilities and customer service skills

Education and Experience

A high school diploma or GED is required. Minimum of two years previous work experience as an administrative assistant is required.


Compensation and Benefits

This is a full-time position. Starting range is dependent upon on individual qualifications and experience. Concordia health, disability and retirement plan enrollment is available to full-time employees and their eligible dependents.
