This role offers a mix of Senior PA responsibilities together with HR Administration and general Office Management. Working at the Brussels branch of the business, you will be offering secretarial support to 3 members of staff and managing day to day general operations.
Responsibilities:
*Booking travel, diary management, expenses administration
*Supporting the London team when necessary (at busy times)
*On-boarding new employees (to include payroll, office security)
*Organising computers, software, desk phones, IT Devices, business cards, stationery, seating area set up
*Liaison with benefits companies and other outsourced agencies / suppliers
*Liaison with accounting department in order to ensure invoices are administered efficiently
*Organise meetings, booking conference rooms in London and Brussels, organising corporate events *Compliance administration: ensuring Belgian Work Regulations are adhered to and that all documentation is updated *First point of contact for office related issues, dealing with the landlord, London counterparts, vendors, suppliers and staff *Maintaining attendance records for Brussels office staff members, to include holiday entitlement schedules *Providing reports to New York based HR Manager *Responsible for yearly tax documentation administration *Assistance in conference organisation
Requirements:
*Fluency in English and French to mother tongue standard both written and verbal
*Experience as an office manager or as a senior PA is preferred *Strong MS Office (Outlook, PowerPoint and Word essential) *A Degree or similar qualification in Business Administration, HR, or a similar field would be ideal but is not a prerequisite
Working hours to be from 9.30am – 6.00pm, with an hour’s break for lunch
