About the Position: This position is in the Defense Civilian Intelligence Personnel System (DCIPS). Employees occupying DCIPS positions are in the Excepted Service and must adhere to U.S. Code, Title 10, as well as Department of Defense Instruction 1400.25. This position is located at the 650TH MILITARY GROUP, SHAPE, BELGIUM APO AE 09705.

Duties
Performs primary duties as the secretary to the Group Commander and assists the Deputy Commander, Group Sergeant Major, Attorney Advisor, and Adjutant, 650th Military Intelligence Group, by performing a wide variety of administrative office support duties. Maintains the Commander’s calendar. Schedules appointments and on own initiative reschedules appointments when necessary. Arranges for conferences and meetings. Updates calendars of 6 Senior Officers to keep Commander informed. Receives calls, uses judgment, and directs to the Commander as appropriate. Makes calls worldwide to senior personnel. Provides administrative information and technical information to callers upon determination of their right to receive it. Prepares travel orders. Schedules and coordinates visits. Greets visitors, and ensures meeting places are prepared prior to arrival of invited personnel. Reserves hotels, flights, rail and rental cars for senior staff and visitors. Prepares and submits travel vouchers. Composes correspondence, reviews all outgoing correspondence for appropriate format, grammar, and spelling. Maintains suspense records on all correspondence and action documents and follows-up to ensure a timely reply/action. Organizes and maintains file manuals, and other related materials. A qualified typist is required. Uses advanced skills with MS Outlook, Word, Access, PowerPoint, Excel, and Publisher are required. Attends the weekly Command and Staff meeting, tracking new tasking’s assigned to the appropriate staff section and briefing the task status at the subsequent meeting. Serves as the 650th MI Group Headquarters liaison with the Group Family Readiness Group (FRG). Attends all recurring FRG meetings and takes minutes for publication to the unit and FRG members.

To qualify based on your experience, your resume must describe at least one year of experience which prepared you to do the work in this job. Specialized experience is defined as experience in performing and coordinating a variety of clerical and administrative work for an office; applied knowledge of composition techniques, formatting, spelling, grammar and punctuation to prepare a variety of documents, correspondence, and reports; experience utilizing word processing, electronic mail, and database software. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service GG/GS-06.

NOTE: Creditable experience may include previous military experience, experience gained in the private sector, or experience gained in another government agency so long as it was at a level at least equivalent to the next lower grade in the series.
